This Administrative Specialist CL2 with the University of Maine Cooperative Extension is a full-time, year-round, contingent upon funding position. This position is responsible for administrative and bookkeeping support to the Cumberland County office of the Cooperative Extension. The work done in this position is essential to Cooperative Extension’s mission because it provides customer service to the public and supports local Extension staff in 4-H Youth Development and Food & Nutrition programs. Position will be based in the University of Maine Cooperative Extension Regional Learning Center, Cumberland County office in Falmouth, Maine. Travel throughout the county, and some state and regional travel may be necessary. Full-time, regular position, 40 hours per week, 5 days per week. Normal daily work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m. This position pays $17.69/hour, or applicable transfer rate.

 

Essential Duties and Responsibilities:

 

  • Provides administrative support by assisting with the planning and coordination of projects and events.
  • Prepares, orders, and organizes course materials.
  • Handles verbal and written communications with clients regarding a broad range of questions, issues, and requests.
  • Creates and maintains databases and filing systems, including data entry and those that contain confidential information.
  • Composes and edits a variety of standard and specialized correspondence including social media. updates, client emails and calls, and outreach efforts.
  • Collaborates with other staff to maintain a functioning, welcoming office environment.
  • Serves as contact for outside vendors, agencies and organizations.
  • Supports client and volunteer needs and responds to questions in a timely manner.
  • Updates and maintains websites, social media accounts, and newsletters.
  • Prepares special documents and reports.
  • Receives, processes, and monitors financial transactions for a broad range of accounts and sources.
  • Attend staff meetings and meet with staff to support programs.
  • Prepares meeting minutes and agendas.
  • Serve on organizational committees as appropriate.
  • Performs other reasonably related duties as assigned.

Required:

  • High school diploma or equivalent (G.E.D.) AND sufficient experience, including two years administrative support experience.
  • Experience in office settings, performing a variety of routine to non-routine clerical and administrative support responsibilities and tasks.
  • Ability to communicate effectively using oral, written and electronic methods.
  • Proficiency with computer programs such as Microsoft Excel, Word and PowerPoint, as well as Google Drive and document management software.
  • Ability to work independently and manage multiple tasks in an autonomous work environment as well work effectively as part of a team, and able to achieve and document measurable results.

Preferred:

  • Knowledge of University of Maine Cooperative Extension and its educational programs
  • Experience with UMaine’s General Ledger and MaineStreet systems
  • Ability to maintain moderately complex databases
  • Experience working with diverse audiences; knowledge of diversity, equity and inclusion; and understanding of equal opportunity, affirmative action and civil rights policies
